Eid Bazaar Vendor Registration Online: From Google Forms to Booked, Paid Booths
Most Eid bazaars still register vendors with a Google Form, a Zelle handle and a spreadsheet of who is in which spot. It works until two vendors show up for the same corner. This is the process organizers use instead: publish the map, let vendors book and pay for a specific booth, and have the vendor list build itself.
Why the form-and-Zelle method breaks
A registration form collects interest, not commitment. Vendors fill it in, the organizer sends payment details by email, some pay, some forget, and the booth plan lives in someone's head. The week of the event is spent reconciling Zelle screenshots against a spreadsheet and answering 'which spot am I?'.
The fix is to make booking and paying one step, attached to a specific spot on a map, so the list of confirmed vendors is always the list of people who paid.
Step 1: Put the floor plan online
Upload any image of the venue layout, even a photo of a hand-drawn plan, and draw the booths on top of it. Give each booth a label (A1, A2, Food 3), a type, a price and a short description such as 'corner, next to the entrance, power available'. A whole row can be numbered in one go.
Price by position, not just size: entrance and corner spots are worth more because vendors can see the foot traffic on the map. The vendor booth pricing guide covers what bazaars and conferences actually charge.
Step 2: Decide who may book
Leave booking open and the plan fills first come, first served. Or require approval, so a booking is held until you accept it; require verified vendors; or require proof of insurance for food vendors. These are switches per event, so the Eid bazaar can be open while the conference exhibition is curated.
Step 3: Codes for early birds, returning vendors and sponsors
Discount codes replace the 'DM me for the returning-vendor rate' conversation. Create a code as a percentage or a fixed amount off, with a limit on how many times it can be used and an expiry date. An early-bird code that expires a month out fills the plan early; a code for last year's vendors rewards the people who make the bazaar worth attending.
Sponsors who get a booth as part of their package receive a 100% code: they pick their spot and the booking confirms without a card.
Step 4: Vendors book and pay in one step
From the event page a vendor opens the exhibition map, picks a free booth, applies a code if they have one, and pays. The spot is held while they pay and nobody else can take it. The money goes into the organizer's own Stripe account at booking, not after the event, and the platform fee is either absorbed by the organizer or shown on the vendor's total, whichever the organizer chose.
Step 5: The vendor list builds itself
Every paid booking lands on the organizer's Vendors page with the booth label, the vendor's contact details and what they sell, and can be exported to CSV for the day-of team. Confirmed vendors appear on the event's Vendors tab with their booth number, so attendees know where to find them.
Step 6: Let attendees shop before the day
A booth does more when attendees can buy before they arrive. Each vendor can open a storefront, and the organizer can choose vendor products to offer as add-ons inside the ticket checkout. The attendee collects at the booth with the QR code on their ticket, and the vendor scans it to see only their own orders.
Questions
How do I register vendors for an Eid bazaar online?
Put the floor plan online with a price on each booth and let vendors book and pay for a specific spot from the event page. Payment and registration are one step, so the confirmed vendor list is always the list of vendors who paid.
Can I give returning vendors a discount on their booth?
Yes. Create a booth discount code as a percentage or a fixed amount off, with a use limit and an expiry date, and send it to last year's vendors. The discount shows before they pay.
Can sponsors get a free booth?
Yes. A 100% booth code lets a sponsor pick their spot and confirm it without a card.
When does the organizer get the booth money?
At booking. It is paid into the organizer's own Stripe account when the vendor books; Ummah Unite does not hold it.
What does it cost?
$10 + 2.5% per booth booked, absorbed by the organizer or added to the vendor's total, plus card processing at checkout. There is no plan or monthly fee.
